Document intake is the point where material enters a review program and acquires the context that governs it — which engagement it belongs to, which standard applies, and who may see it. Decisions made at intake constrain everything downstream, which is why it is a control point rather than an upload step.
Intake establishes four things before review work begins.
Ownership. The material is bound to a client workspace inside one tenant. This determines who can reach it and cannot be inferred later from the document's contents.
Applicable standard. Material arrives for a purpose — a plain-language pass, a risk review, an accuracy check — and the standards profile governing that purpose is attached at intake rather than chosen ad hoc by whoever picks up the work.
Provenance. Who submitted the material, when, and through which route. A review outcome is only as defensible as the record of what was reviewed, so the intake record is the first link in that chain.
Handling class. Some material carries obligations beyond ordinary confidentiality. Recognising that at intake means the constraints apply from the first touch rather than being retrofitted after someone notices.
The characteristic failure is treating intake as a formality. Material that enters without a standard attached gets reviewed against whatever the first reviewer assumes; material that enters without clear ownership becomes difficult to scope correctly; and neither problem is visible until an outcome is questioned.
Intake is also where volume is measured, which is what makes turnaround commitments and pricing calculable rather than estimated.
Review programs fail at the edges more often than in the middle. Material reviewed against the wrong standard, or visible to the wrong people, is a problem created at intake and discovered much later.
Intake is also the moment when confidentiality obligations attach. Material sitting in an unscoped staging area has already left the boundary the engagement assumed.
